Permit Types

Overview

This article will walk you through the steps on how to add a new permit type, as well as edit/review current permit types. 

Prior to adding a new permit type, you need to ensure all Zone, Locations and Accepted Documents settings are configured.

Go to Roker Admin portal > Settings > Type of Permits. 




Add a new Permit Type

You can select the "add" button at the top right corner to add a new permit type.
 



In the first section, you will see the below screen.



Automated recurring payment: If you select "yes", the below screen will appear with further selections. This is for if you would like this payment to be charged on the basis of permit renewal - ex. monthly, yearly, weekly.



Select payment processing days: If you select "yes", you can decide when the reoccurring payment will be processed. EX. Weekly, Monthly, Yearly
Send Invoice Before Day(s): How may days prior you'd like to send the invoice. EX. 1 day prior
Payment Reminder: If you would like to send a payment reminder prior to the recurring payment processing. EX. 1 day prior
Allow Prorated: This determines if you allow prorated rate for a lesser use case. 
Allow Grace Period: If you would like to allow a grace period for outstanding reoccurring payments/payment due. 


Transient Parking: If you would like the permit available on the mobile payment app (flick on), or if you'd like it only available for the end user. 



Open permit: If the permit is active and usable at all locations automatically. You will be prompted to confirm timezone if you enable this feature. 





The next section will prompt you for permit details such as permit name, type of permit (regular, seasonal, temporary).
Note: The user is able to see the Permit Name.



Is this a printable ticket: This determines if this ticket can be printed. 
Renewable: Can the permit be renewed once expired
Multi Vehicles: If more than (1) vehicle can be added to 1 permit. 


Add Fee: If you would like to add an additional fee. This is not added to the permit, but a secondary option. EX. One-time administrative fee for processing. 


Adding Opening Hours and Pricing

By clicking "add opening hours and pricing" you are able to create a new permit option. An example below would be pricing for weekends only (Saturday Sunday).

Once you have added in the information needed, you can click "add" to create. 


You will want to select an effective date, permit duration, and also a price catalog (as created above, or use a pre-existing price catalog). 



Accepted license plate types: You may select one or multiple accepted license plates (ex. car, motorcycle). 
Approval Required: If your administrators need to approve the permit manually. 
Accepted Documents: If you require uploaded documents in order to approve a permit. Ex. Proof of employment at the University you work at, to ensure they are allowed a permit/in the right location.
Note** You can click "add" if you'd like to name your own document type to request within your permit approval process. 




Information: If you would like to add any additional information. Note** The permit holder can see these information notes.
Is refund amount applicable: If refunds are permitted/allowed
Cancellation and Refund Policy: If your organization has a refund policy, you would select it here, and indicate the effective/expiry date.

Once all fields are completed, click the yellow 'ADD" button. 


Edit/Review Current Permit Types

In this section, you will see existing permit types (if any), that you are able to edit/review by clicking the "edit" pencil icon on the left side. 



Assign Checklist

You can assign checklist items to each permit type if there is a requirement for supporting documents. This is applicable for organizations who require documentation for manual approval of permits. EX. A University may require proof of student enrolment in order to manually approve their parking permit. 

Under Settings > Type of Permits, you will see a list of permits currently created. On the left side under "Action", you can click the clipboard icon to add checklist items to the permit (Highlighted below in GREEN). 



Once you have clicked the clipboard icon, a new screen will appear where you will see a list of documents on the left side. If you would like documents to be added as a checklist, you will need to drag them with your mouse to the right column (below)



If you do not see the checklist item you are hoping to add to the permit, you will need to add that document to the Accepted Documents section. For information on how to do that, click here.
